Privacy Policy
Last updated: 27 September 2026
This policy explains how Sylenze (“we”, “us”) uses personal information on sylenze.com, including when you sign in with Google to the investor or staff portal.
Who we are
Sylenze is the control layer for sensitive digital media, and this site also runs a private portal for approved investors and Sylenze staff. For questions about this policy, email info@sylenze.com.
What we collect
- Google sign-in: if you click “Sign in with Google”, Google shares your
name, email address, and basic profile with us so we can check that you are Sylenze staff
(
@sylenze.com) or an approved investor. We do not get your Google password. We do not post to your Google account, and we do not access your Google Drive through this button. - Email and password sign-in: if staff give you a temporary password, we store a one-way hash of your password. We never store the password itself in Google Sheets or in the browser.
- Access requests and contact forms: name, email, organisation, and the message you send, so we can reply.
- Organisation and viewer data: only if an organisation uses Sylenze. The organisation remains responsible for the recordings. That processing is described to them separately, and is not started by this Google sign-in.
How we use it
- To sign you in and keep you signed in.
- To decide whether you may use the staff console or the investor data room.
- To send access details or replies you asked for.
- To keep the service secure (for example, blocking repeated failed sign-ins).
We do not sell your information. We do not use Google sign-in data for advertising.
Legal basis
We process this information under UK GDPR and the Data Protection Act 2018, mainly because it is necessary to provide the account you requested (contract / steps to enter a contract) and, where needed, our legitimate interest in running a secure private portal.
Who we share it with
- Google: only to complete Google sign-in. See Google’s privacy policy.
- Hosting: the website is hosted by our hosting provider so the pages can load.
- Google Sheets / Apps Script: approved investor names and emails, and hashed passwords, so access can be managed. Hashes are not your actual password.
We do not share investor or staff sign-in data with organisations or viewers.
Cookies
We use a strictly necessary session cookie to keep you signed in after you log in. We do not set advertising cookies. You can delete cookies in your browser; you will need to sign in again.
How long we keep it
Staff and investor account details are kept while access is needed, then removed or deactivated when access is withdrawn. Contact-form messages are kept only as long as needed to handle your request.
Your rights
You can ask us for a copy of your data, to correct it, to delete it, or to restrict how we use it, by emailing info@sylenze.com. You can also complain to the Information Commissioner’s Office.
To stop Google sign-in, use your Google account’s third-party access settings, then ask us to remove your Sylenze access if you no longer need the portal.
Children
The Google sign-in on this site is for adults (organisation staff, the Sylenze team, and investors). It is not for children to create accounts.
